1. Who we are and how to contact us

This privacy policy explains how 78 Dental (“we”, “us”, “our”) collects and uses your personal data when you visit our website or contact us through it. We are a UK-based marketing agency working with dental practices.

78 Dental is a trading name of Minesh Patel, who runs the business as a sole trader in the United Kingdom. We are the data controller for the personal data described in this policy, which means we are responsible for deciding how and why your personal data is used.

2. What personal data we collect

Information you give us through our enquiry form

When you submit our enquiry form, we collect:

• your full name
• your practice name
• your email address
• your phone number (optional)
• the content of your message, including any details you choose to share about the marketing help you are looking for

Please only include information that is relevant to your enquiry. There is no need to share patient information or any other sensitive details in your message.

Information we collect automatically

When you visit our website, we (and the providers who help us run the site) may collect technical information about your visit. In general terms this can include your IP address, information about your device, browser and operating system, the pages you view and links you click, an approximate location based on your IP address, and the website or source that referred you to us. We collect this information through cookies and similar technologies, described in the Cookies section below.

3. How we use your data and our lawful bases

Under UK GDPR we must have a lawful basis for using your personal data.

Responding to your enquiry and arranging a discovery call

We use the details from your enquiry form to reply to you, answer your questions and, where appropriate, arrange a discovery call. Lawful basis: legitimate interests. It is in our legitimate interests, and yours, to respond to enquiries about our services.

Managing our relationship and our records

We keep a record of enquiries and correspondence so we can manage our business, follow up appropriately and keep accurate records. When you submit the enquiry form, the details are sent to us by email and held in our email account. We do not currently pass enquiries into a separate customer relationship management system. Lawful basis: legitimate interests in running and administering our business.

Understanding how our website is used

We use analytics to understand how visitors use our site so we can improve it. Lawful basis: consent for any non-essential analytics cookies, collected through our cookie consent mechanism.

Marketing and advertising

We do not currently run any advertising or measurement pixels on this website. If we introduce them, we will update this policy and ask for your consent before any such technology is used.

We do not sell your personal data, and we do not use the information you submit through the enquiry form to make automated decisions that have a legal or similarly significant effect on you.

4. Cookies and similar technologies

Cookies are small text files placed on your device when you visit a website. This site sets no cookies unless you accept them. The only cookies it can set are Google Analytics cookies, and only if you accept them. If you reject, or ignore the banner, the Google Analytics script is never loaded and no cookies are set.

We show a cookie consent banner the first time you visit, where rejecting is as easy as accepting. You can change your choice at any time using the “Cookie settings” link in the footer of every page, and if you withdraw consent we delete the analytics cookies from your browser. You can also control cookies through your browser settings.

5. Who we share your data with

We use trusted third-party providers to help us run our website and our business. These providers act as our processors, which means they only handle your data on our instructions and under a written agreement. We may share your personal data with:

• our email delivery provider: Resend (Plus Five Five, Inc.), which delivers your enquiry to our inbox
• our website analytics provider: Google Analytics 4 (Google Ireland Limited), and only if you accept analytics cookies
• our website hosting provider: one.com

We may also share data with professional advisers or with authorities where we are required to do so by law.

6. International transfers

Some of our providers may store or process personal data outside the United Kingdom. Where this happens, we take steps to make sure your data is protected to a standard consistent with UK data protection law, for example through a UK adequacy decision or appropriate safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. 7. How long we keep your data

We keep your personal data only for as long as we need it for the purposes set out in this policy. If you make an enquiry and we do not go on to work together, we will keep your enquiry details for a reasonable period so we can follow up and keep a record, and then delete or anonymise them. If we do work together, we will keep relevant data for the duration of our relationship and for as long afterwards as we are required to, for example to meet legal, tax or accounting obligations.

8. Your rights

Under UK GDPR you have the right to be informed, the right of access, the right to rectification, the right to erasure, the right to restrict processing, the right to object (including to direct marketing at any time), the right to data portability, and the right to withdraw consent where we rely on it. Withdrawing consent does not affect the lawfulness of anything we did before you withdrew it.

To exercise any of these rights, please contact us at privacy@78dental.co.uk. We will respond within one month, as required by law. There is normally no charge, and we may need to confirm your identity before acting on your request.

If you have any concern about how we handle your personal data, please contact us first at privacy@78dental.co.uk so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection.

10. Changes to this policy

We may update this policy from time to time to reflect changes in our practices, our tools or the law. When we make changes, we will update the effective date below and, where changes are significant, take reasonable steps to bring them to your attention.
